Who we are
RP4 is a small team of professionals who have a great deal of experience. We’re passionate about using this experience to help our colleagues to work within a team dedicated to providing the highest possible standards of health care.
We provide practical help and support with clinical and management compliance and we give individual help to colleagues who request support when they feel uncertain to whom they can turn when they are concerned or vulnerable.

When you give it to us INDIRECTLY?
Your information may be shared with us by independent organisations such as the GoCardless payment collection service which we use to collect your monthly membership fees.
We may access your website to research your practice services and to enable us to help you with regulation and compliance.
We may access your published CQC Report to assist us to apply our services more accurately to your requirements.
You should check the Privacy Policy of the above organisations when you provide your information to understand fully how they will process your data.
When you give permission to OTHER ORGANISATIONS to share
We may combine information you provide to us with information available from external sources in order to provide better services to you and the people we support.
The information we get from other organisations will depend on what permission you have given them to share your information.
Depending on your settings or the privacy policies for social media and messaging services like Facebook, WhatsApp or Twitter, you might give us permission to access information from those accounts or services.
We may process information that is publicly available. This could include information found in places such as Companies House and information that has been published in articles/ newspapers.
We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ you must get your parent/guardian’s permission beforehand whenever you provide us with personal information.

The type and quantity of information we collect and how we use it depends on why you are providing it.
Typically, the basic personal information we collect might include:

Your GDC registration number
Your Staff members names (e.g. practice manager)
If you use our website we collect your IP address, and information regarding what pages are accessed and when.
If you subscribe to RP4 monthly membership services your banking details and information is not held by us, it is collected by our third party payment processors, GoCardless. How do we use your information?
We will mainly use your information to:
provide you with the services, products or information you asked for
keep a record of your relationship with us
seek your views or comments on the services we provide
notify you of changes to our services
send you communications which you have requested and that may be of interest to you, including information about regulation changes, campaigns to promote better and fairer regulation, supporting services and products offered by other providers of services.
ensure we know how you would like to be contacted
If you request assistance and provide your login details to a third party, we may use this login to view your information and to suggest how it may be completed. We will not however make any amendments or alterations.
We may contact you to see if we can help with any problems you may be experiencing with the use of our websites. We will offer online help with the use of our website by accessing the members RP4 login and sharing our screen with you upon your request and invitation via sites such as Zoom. This service is only available to RP4 Blueprint MONTHLY MEMBERS and upon the members request.
How long do we keep this information?
We review our retention periods for personal information on a regular basis.
We need to retain data to assist you in using the RP4 system. If you request to unsubscribe from our service, we will remove your data from our system. We strongly suggest that you download all your data from the RP4 system before requesting unsubscribe, since it will not be possible to subsequently retrieve your data.

How do we keep this information safe?
When you give us personal information, we take steps to ensure that there are appropriate technical measures in place to protect it. For example, access is restricted only to those who are entitled to see the data, our online templates and audits are always encrypted and our network is protected and routinely monitored.
If you download, amend, bespoke or store any RP4 documents, you are responsible for the security of the contents thereafter.
We do not store sensitive personal data (including the health information of the people we support, or credit or debit card details).
RP4 occasionally offers support to MEMBERS with GDC Conditions or Undertakings and provides Reports to Regulators and Members indemnity organisations. All Reports which involve patients will have been redacted or the identities of patients protected by reference only to an identifier code known only to the Data Processing individuals at that practice.
Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.
Who has access to this information?
RP4 will not sell, share, or rent your information to third parties without your express consent.
Sometimes RP4 is required to share your information. This may include:
An external professional as part of providing one of our services
A third-party service provider, agent, subcontractor or other associated organisation for the purpose of completing tasks and providing services to you on our behalf. This is led by your request (e.g. you ask to be introduced to another service provider).
We may transfer your personal information to a third party where we are under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our supporters and customers. However, we will take all necessary steps with the aim of ensuring that your privacy rights continue to be protected.
Your Rights
You have a right to ask us to stop processing your personal data and, if it’s not necessary for the purpose you provided it to us (e.g. to provide you with the services, products or information you asked for, processing your payment) we will do so.

If you do not want to subscribe to membership services any longer, please tell us and cancel your monthly Direct Debit payment. If you wish us to remove your details entirely from our system, please tell us and we will unsubscribe you immediately.
